Email signature

Guidelines and instructions

The CDU brand is firmly attached to every facet of our identity, including email communications. By consistently applying the CDU email signature, we ensure CDU is always represented in a professional and appropriate way.

All CDU staff should use the CDU email signature for all emailing, including new, reply and forwarded messages.

Please note: don't change your email signature in any way. Don't add quotes, poems, different fonts, coloured or textured backgrounds or images. Please ensure elements of the old CDU brand are not present, such as "Change your world".

How to create your CDU email signature

Please note: creating your signature in Google Chrome can be problematic, please use Mozilla Firefox or Internet Explorer.

Outlook desktop client (Windows users)
  1. Log in to the CDU Signature Generator
  2. Check that all your information is correct
  3. Click ‘Generate’
  4. Ensure that the ‘Optimised for’ dropdown option is set for ‘Microsoft Outlook (Desktop Client)’, then highlight and copy the content including the logo

Then, in Outlook:

  1. Click on 'File' and then choose 'Options'
  2. Click on 'Mail'
  3. Click on 'Signatures' and then 'New' and give your new signature a name
  4. Paste the signature you just created and copied via the Signature Generator into the 'Edit signature' field
  5. Select your newly created signature under 'Choose default signature' for 'New messages' and 'Replies/forwards'
  6. Click ‘Save’ and then 'OK'
Outlook desktop client (Mac users)
  1. Log in to the CDU Signature Generator
  2. Check that all your information is correct
  3. Click ‘Generate’
  4.  Ensure that the ‘Optimised for’ dropdown option is set for ‘Microsoft Outlook (Desktop Client)’, then highlight and copy the content including the logo

Then, in Outlook:

  1. Click on "Outlook" menu item
  2. Choose "Preferences"
  3. In the "Email" pane choose "Signatures"
  4. If you already have an email signature name, you can leave the name as is
  5. Delete the content in the "Signature" window
  6. Paste the new signature into the window
  7. Under "Choose default signature" select the account you want the signature to adhere to
  8. Ensure you have selected the signature to adhere to "New messages" and "Replies/forwards"
  9. Exit the signatures window
Office 365
  1. Log in to the CDU Signature Generator
  2. Check that all your information is correct
  3. Click ‘Generate’
  4.  Ensure that the ‘Optimised for’ dropdown option is set for ‘Outlook on the web (Office 365)’, then highlight and copy the content including the logo

Then, in Office 365:

  1. Click on the settings cog icon top right
  2. Click on ‘Mail’
  3. Click on ‘Email Signature’ 
  4. Paste the signature you just created and copied via the Signature Generator into the space (delete the old signature first if you already have a signature here)
  5. Tick both checkboxes and then click ‘Save’
